Situation:
Our executive sponsor sought to enhance communication support for the company’s large-scale digital transformation initiatives. Recognizing the magnitude of the changes taking place, he relied heavily on our team to deliver compelling, cohesive messaging that would resonate with stakeholders across the organization.

Approach:
To meet this challenge, our team first immersed ourselves in understanding the transformation tools, technologies, and strategies at play. We set out to build a solid foundation of processes that would enable us to produce high-quality content consistently. By recruiting a dynamic mix of designers, change management experts, and IT product specialists, we were able to embed ourselves in the heart of the transformation effort—working directly alongside those driving the change.

We implemented cutting-edge project management tools like JIRA and later transitioned to Azure DevOps to track our backlogs and ensure alignment with key technology rollouts. To ensure scalability, we developed reusable templates for our deliverables, enabling us to estimate project costs and timelines with precision. This framework also helped us define clear roles within the team, making it easy to hand off work and seamlessly scale our operations as the demand grew.

As our reputation for delivering results spread across the organization, the projects began to multiply, and what started as a small two-person team quickly grew into a diverse group of eight members, spread across three locations. More than just expanding in size, we established deep connections with IT leaders and subject matter experts, ensuring that we had the latest insights on the most critical areas of transformation. These relationships proved invaluable as we were able to highlight key successes, create educational content, and become trusted advisors in promoting change across the organization.

Outcome:
What began as a one-off request to create an executive presentation evolved into a prolific five-year journey, producing hundreds of videos, infographics, podcasts, and websites—all driven by client referrals and a reputation for excellence. Ultimately, our team was recognized for its impact and formally integrated into the Office of the CIO, where we worked across multiple product teams to elevate their communication strategies and ensure their initiatives reached key stakeholders.

Beyond promotion and awareness, we collaborated with the IT Program Management Office to develop guides and frameworks, empowering other teams to articulate the value of their work more effectively. This partnership fostered a culture of knowledge sharing and continuous improvement across departments.

As a team lead, I took great pride in mentoring and developing my team members, helping them grow their careers in creative design, IT change management, and program leadership. By encouraging them to explore new disciplines and push the boundaries of their expertise, we fostered a sense of confidence and capability that propelled us to take on more complex and impactful projects. Together, we built a team that didn’t just respond to change—we helped shape it.
